4. Children’s and Student Information
Some applicants and students are minors. A parent or lawful guardian should complete or supervise forms submitted on behalf of a child. We use children’s information only for legitimate educational, admissions, welfare, safeguarding and administrative purposes.
Parents and guardians should not submit unnecessary sensitive information through the public website. Medical information should be limited to what the Institute reasonably needs to support and protect the child.
5. When Information May Be Shared
We do not sell personal information. We may share it only when reasonably necessary with:
- Authorised Institute staff involved in admissions, academics, administration, welfare or security.
- Service providers supporting website hosting, email delivery, forms or technical operations.

Website form delivery
Our website forms use FormSubmit to transmit completed forms to info@bilalislamicinstitute.ac.ug. Information submitted through those forms is therefore processed by that service for delivery. FormSubmit states that submissions may be retained in its submission archive for 30 days. Avoid submitting information that the form does not request.
7. Information Security
We use reasonable organisational and technical measures to protect information from unauthorised access, alteration, loss or disclosure. Access should be limited to people who need the information for authorised work.
No internet transmission or storage system is completely secure. Please contact us promptly if you believe information submitted to Bilal has been misused or exposed.
8. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for admissions, education, administration, safeguarding, dispute resolution and legal obligations. Unsuccessful or incomplete application records should be reviewed and securely deleted or anonymised when no longer required. Permanent student records may be kept where education rules or legitimate institutional needs require them.

Subject to applicable law and appropriate identity verification, a person may ask Bilal to:
- Confirm whether we hold their personal information.
- Provide access to information we hold about them.
- Correct information that is inaccurate or incomplete.
- Delete or restrict information where there is no lawful reason to keep using it.
- Explain or object to certain uses of their information.
Requests involving a child should ordinarily come from the child’s parent or lawful guardian. We may retain information where the law or a compelling educational, safeguarding or legal need requires it.
